Osello's AI creates and edits images on its own — cropping a photo to a marketplace's required aspect ratio, replacing a background, outpainting the sides of a portrait shot. Those images don't go live unreviewed. Each one waits in the approvals queue (Review images on the Images page) until someone on your team says yes. Images you made or uploaded never wait, and neither do images an AI assistant you connected to your account (such as Claude) creates for you — the queue is only ever about work Osello did on its own.
The point is that AI work never gets blocked waiting on you and never reaches a marketplace without a person having seen it. The AI keeps building your listings; the images it made queue up for a quick look.
What lands in the queue
An image waits for approval when Osello's AI made it. That's an image an AI agent produced or edited while working on your listings — a background swap, an outpaint, a generated shot, or a crop it made along the way.
An image also waits when Osello cropped it while creating a listing. When a new listing's image is the wrong shape for the marketplace, Osello crops plain background off it automatically. Nobody asked for that crop one image at a time, so it waits here like the AI's work does. See how Osello chooses your listing images.
An agent working on a listing doesn't ask you about each image it edits. It saves the ones that pass its own check and, when it's done, links them in its reply so you can approve them. You can't approve an image from the chat.
The exception is an image chat you start yourself from an image's AI menu: the agent shows you each result first, and one you approve there with the Approve button doesn't wait again, because it's saved already approved by you. If the agent later shows you the same result and you turn it down, that earlier approval no longer counts.
Everything else skips the queue entirely and is usable immediately:
- Images that came in with your Shopify catalog or any other integration
- Images you uploaded yourself
- Images you edited yourself — cropping an image in Osello is your decision, not the AI's, so the crop is ready to use the moment it's made
On a new listing the AI builds for you, expect a few images waiting for you.
Listings wait on approval
A listing variant using an image that hasn't been approved can't be submitted. The variant gets its own status, Pending Image Approval, and a banner naming the images it's waiting on.
That status is not an error. The content is complete and valid — it's only being held. Approve the image and the variant re-checks itself and goes back to Ready for Submission.
Anywhere an image appears in Osello, a pending one carries a small amber warning badge in its bottom-right corner. Click it to jump straight to that image's review page. On the Images page, a rejected image carries a red badge instead.
The image's own detail page also shows an Image Pending Approval banner with Approve and Reject right there, so you can clear an image without a detour through the queue.
Reviewing the queue
The badge beside Images in the sidebar counts how many images are waiting. Open Images, and while any are waiting a banner at the top links to the queue: click Review images.
The queue is oldest-first, so working top to bottom clears the backlog in the order it built up. Search and the usual image filters (SKU, style code, category, aspect ratio) all work here too, and the Approval filter switches between Pending approval, Approved and Rejected — so a past decision stays auditable after the fact.
Click any image to review it. The review page shows the image large, plus:
- Original — the image this one was made from, and a link to it
- Changes — what this step changed, the full history if it's a version of a version, and a link to the AI chat that requested it
- Used by — every listing and variant currently using the image
- Source products — the products behind those listings
Approve
Approve clears the image for use and moves you straight to the next one waiting — you can work the whole queue without going back to the list. When you approve the last one, Osello takes you back to the Approvals page.
To clear several at once, tick the checkbox on a tile. Every other tile then selects on a click, so you can run down the queue without aiming for checkboxes. Select all on this page takes the whole page, and the bar above the grid offers Select all N items to reach every image matching your filters. Pick Approve from Choose action... to clear the selection in one go — images that aren't waiting for approval are skipped.
Your selection survives paging through the queue, so you can gather images from several pages before approving. Changing a filter clears it, since you'd no longer be looking at what you picked.
Reject
Reject asks for a reason — it's required, and it stays on the record so anyone looking later knows why.
Rejecting an image:
- Puts the image it was made from back on every listing and listing variant using it, and re-runs those listings' content checks. If that image was rejected too, Osello goes back further to the nearest one that wasn't. An image with nothing before it is removed instead.
- Keeps the image itself, along with your reason, as the audit trail
- Hides it from the image picker, so nobody can choose it for a listing again unless it's unrejected
- Leaves your product's own images alone — rejecting an AI edit never changes your source catalog
Because rejection touches live listings, it's one image at a time; there's no bulk reject.
Changed your mind?
Both decisions can be undone from the ⋯ menu in the top right of the review page — or from the same menu on the image's own detail page. An approved image offers Unapprove; a rejected one offers Unreject. Either way the image goes back into the queue for someone to look at again.
A rejected image's detail page also shows an Image Rejected banner saying who rejected it and why, with Unreject right there.
Two things worth knowing:
- Unapproving an image means any listing using it can't be submitted again until someone approves it.
- Unrejecting does not put the image back on the listings the rejection swapped it out of. It returns to the queue, not to your listings — re-add it to the listing yourself if that's what you want.
Choosing an image doesn't approve it
Picking an image that's waiting for approval for a listing field, or attaching it to a product, leaves it in the queue. The same goes for an AI assistant you connected to your account attaching one for you. Approve it on the review page or with Approve on the image's own page, and every listing using it can be submitted again.
